Pre–event

Q: What experience do I need to apply?

Bar Experience is an advantage but not a must. A can do attitude is a lot more important to us.

For some specific events we will require staff with more experience in certain roles.

Q: How old do I have to be to apply?

In order to apply you will have to be at least 18 years old on the first day of the event. However, at some of our events we are able to offer roles for 16 and 17 years olds. Please contact us directly for information.

Q: How do I get an Interview?

Register online and select the events you are interested in working at (taking into account distance and travel cost, as this will only be subsidised from some cities). Once we have confirmed interview dates we will send an email to you containing a link which will allow you to book an interview slot. Alternatively, you can call the office to book a slot once the email directing you to the interview booking has been received.

Q: Can I have a telephone interview?

No unfortunately not. We offer priority to those who attend a face to face interview and therefore it is extremely unlikely that we will hold telephone interviews.

Q: What events can I work at?

Once you have been accepted for your first event you can register to work at any of our events that will be on our website. However please take travel cost and distance into consideration. We only provide coaches from cities in close proximity to the event.

Q: Can I work at all of the events?

We do have some very resourceful members of staff that manage to work at all of our events across the UK. This is managed by the individuals planning in advance their travel to the coach pick up point or directly to the event itself. In order to do this you need to book your travel early.

Q: Do I have to pay a deposit to work at an event, as required by other event staffing companies?

Unlike many other event staffing companies we do not require you to pay a deposit for your wristband or pass in to the event. However, once a wristband or pass has been issued and you fail to attend work we reserve the right to prosecute for the price of entry into the event.

Q: How much do I get paid?

Wages vary per event. These will be confirmed at interview and in event email correspondence.

Q: When do I get paid?

Provided you have given all required documentation (identification, bank details, national insurance number and any relevant visa documents) your payment will be processed within 10 working days after the final day of the event.

Q: Why do I need a HAP Recruitment account?

In order to register for our events and book your place at some of the biggest events in the UK you must complete a HAP Recruitment account.

Q: Can I work with my friends?

Yes absolutely! If you want to work with your friends only ONE of you needs to call on the response days (information on response days will be contained in the email sent to you following your interview day) to confirm attendance for you all (make sure you know your friends FULL NAMES). If only one of you calls it will ensure you are working on the same bar, if more than one calls you may be allocated to different bars.

Q: What should I expect?

An informal atmosphere aimed at obtaining key application documents to support your online application.

It is also a good time to ask any questions you may have and for us to get to know more about you.

Q: What should I bring to the interview?

In order to comply with UK Employment Law, when you attend your interview you must supply us with ID (Passport or Birth Certificate) and proof of your National Insurance number (card, Payslip, P45 or Job Centre letter)

Q: What should I wear to the interview?

While it is an informal atmosphere we appreciate those who make the effort to at least be smart/casual.

Q: Where are the interviews?

Our interview days are held throughout the UK in relation to event dates and location. They are generally held in the city the event is held in or cities close to the event site. For example: Interviews for V festival- Weston Park in Stafford will be held in Wolverhampton, Birmingham and Manchester, whilst for T in the park interview days will be in Glasgow and Edinburgh.

Q: When/how do I find out if I was successful at the interview?

We will reply to all candidates as soon as possible by email. This will be within 5 working days of the interview day. Please check all your mailboxes as some search engines filter the email into your junk mailbox. If you do not receive an email within this time please contact the office on 08443267444.

Q: What events can I work at?

Q: Do I have to go to an interview if I have already worked with HAP Recruitment?

If you have already worked for us you DO NOT have to attend another interview. You just need to register for the next event(s) you want to work at and then closer to the event date we will email you with further information.

Q: How do I get a HAP Recruitment login?

Once you have registered you will be asked to supply a username (your email) and a password. This allows you to book your interview slot, register for our events, check our future events, check travel times and pick up points, and keep up-to-date with any event information.

After the interview

Q: How do I find out if I have got the job?

We will reply to all candidates as soon as possible by email. This will be within 5 working days of the interview day. Q: When should I expect to find out if I have been successful?

Event

Q: Do HAP Recruitment provide transport to and from the event?

We will provide subsidised coaches to and from events from cities in close proximity to our events.

We do not provide travel expenses for staff that want to make the own arrangements to attend our events.

Q: Where do I stay at the event?

Festivals require staff to camp. Facilities can be basic, however we always try to ensure that our staff have their own campsite containing toilets and showers. You will need a tent, sleeping bag and roll mat.

Q: Do HAP Recruitment provide camping equipment?

Tents, sleeping bags and roll mats must be brought by yourself as we do not provide them freely. However we do sell tents, sleeping bags and roll mats at a reduced rate that can be deducted from your wages.

Q: What should I bring to the Festivals?

  • Tent, sleeping bag and roll mat (we sell tents, sleeping bags and roll mats- These must be pre-ordered and will be deducted from you wages.)
  • Plenty of warm clothes
  • Plastic bag for wet clothing
  • Black jumper or hoodie to wear underneath your bar T-shirt while you are working.
  • Black shoes or black trainers (closed toe)/wellies (any colour). Only this footwear will be permitted while working.
  • Wet wipes, toilet paper, towel and torch
  • NO GLASS OR BBQ’s are permitted in the staff campsite.

Q: Do HAP Recruitment provide food during the event?

  • If working at a festival we will provide you with a packed lunch and either a hot evening meal or vouchers to use on site. Please note this may not be the same for a day event.
  • If you have and specific dietary requirements please bring plenty of your own food. Unfortunately, due to the festival environment we cannot always cater for these.
  • Bring plenty of snacks
  • Staff water will be provided in your work area

Q: Can I cook my own food in the campsite?

BBQs or fires are not permitted in the staff camping area.

Q: Will I see my favourite band?

Although you get access to the event you are there to work. Therefore we cannot guarantee you will see specific bands or artists.

Q: What shifts will I be working?

We will confirm your shift times on arrival at the event. This can be subject to change during the event.

Q: Can I work with my friends?

Q: Is uniform provided?

Uniform will vary from event to event and this will be specified in an email following your interview day. However, as a general rule it will be provided.

For example, if you are working at a festival we will provide you with a bar t-shirt. We require you to wear this with black trousers, shorts or skirts, and a black top or hoodie to wear to wear underneath your bar t-shirt. Suitable footwear includes: shoes or trainers (black and must be closed toe) or wellies (any colour).

Q: Can I keep any tips I may receive?

We do not allow staff to keep tips. All tips received will be donated to a local charity chosen prior to the event.

Post Event

Q: How do I get home and how do I know when the bus leaves?

You will have received an email before the event with ‘Final Event Details’ in the subject box, this will provide full details of transport arrangements to and from the event. However, for most events all coaches will leave the night the event finishes, at approximately midnight. If you are ever unsure of time or location of pick up post event, please call the emergency out of hours number which we will provide at the event briefing.

Q: When do I get paid?

Provided you have given all required documentation (identification, bank details, national insurance number and any relevant visa documents) your payment will be processed within 10 working days after the final day of the event.

Q: What if I have not provided all required documentation?

You will not be paid until these are received. We will not actively chase employees for missing information. It is your responsibility to provide all documents as requested for payroll purposes.

Q: What if I have not provided my bank details?

We will not be able to pay you until these are received as we will have no account details to pay. We will not actively chase employees for missing information. It is your responsibility to provide all documents as requested for payroll purposes.

Q: What do I do if I think my pay is incorrect?

You must check your pay slip as soon as you receive it and if you think that an error has been made please contact our main office immediately on 0161 660 9686.

Q: Do you cover my expenses to get to an event?

Under normal circumstances we will not cover your travel expenses. Where possible, we will assist with transportation from designated cities. When this is provided it will be your responsibility to get to the main pick up and drop off points at your own expense.

Q: How do I find out about other events?

Keep checking our website for future opportunities in your area. On some occasions we may also offer transport to various locations, which will be stated on our website.

Q: How do I request my P45 if I find another job or do not want to work with HAP again?

You must email pay@haprecruitment.com with your employee number (found on your payslip) and your name, stating that you would like your P45 and the reason why. It will be sent out within 10-15 working days from the date your email is received.

Q: Does HAP provide references?

We do not provide personal references. We will, however confirm dates of work and attendance/disciplinary records on request.
